Shopify Admin

How to set up Refina in Shopify Admin

The Refina Get Started page walks you through the core setup steps. Use this section if you want more detail about what each step means and why it matters.

1. Choose a plan

Refina needs an active plan before it can build catalogue intelligence. Open the Billing page, choose the plan that suits your store, and return to Get Started once the plan is active.

Why this comes first: Refina builds a product knowledge layer for your store. That build only starts after a plan has been selected.

2. Start building intelligence

Click Start building intelligence from Get Started. Refina begins reading your Shopify catalogue, organising your product data, and using Google Gemini to enrich product understanding with broader product knowledge — including ingredients, materials, features, benefits, specifications, use cases, and category context.

  • Products are synced from Shopify.
  • Product data is indexed so it can be searched by meaning, not just exact keywords.
  • Google Gemini helps enrich product understanding with broader expert context.
  • Refina combines that enriched understanding with your catalogue so recommendations stay grounded in products you sell.
The important distinction: Google Gemini helps Refina understand product concepts. Your Shopify catalogue determines what Refina recommends.

3. Enable Refina in your theme

Refina appears on your storefront through Shopify theme settings and app blocks. You can enable the app embed, add a product-page block, create a menu link, or use the optional Welcome Popup.

Important: Shopify app blocks are context-sensitive. If you are editing the Home page, the Refina product-page block may not appear. Switch to a product template first.

4. Set your store category

Set your store category in Settings. This helps Refina use the right terminology for your catalogue — for example, ingredients for skincare, materials for apparel, components for bikes, or specifications for technical gear.

Product intelligence

How catalogue intelligence works

Catalogue intelligence is Refina’s understanding of your products. It is built from your Shopify catalogue, then improved with indexing and AI enrichment so Refina can recommend products by meaning, use case, and context.

1 Sync Refina reads your Shopify catalogue.
2 Index Products are organised for fast matching.
3 Enrich Gemini adds broader product context.
4 Learn Refina builds store-specific product knowledge.
5 Recommend Shoppers get grounded product advice.

Product sync

Sync is how Refina gets an up-to-date copy of your product catalogue. Refina uses product information such as titles, descriptions, product types, tags, categories, images, prices, variants, handles, and availability.

Indexing

Indexing helps Refina organise your products so they can be found by meaning, not just by exact keyword matches. This is what helps Refina connect shopper questions to relevant products in your catalogue.

Gemini enrichment

Enrichment is where Refina uses Google Gemini to add expert product understanding around your catalogue. Gemini helps interpret product features, ingredients, materials, specifications, benefits, use cases, category context, and comparison language so the assistant can explain why one product may suit a shopper better than another.

Key point: Gemini helps Refina understand product meaning. Refina still recommends from your store.

Product knowledge layer

Think of the product knowledge layer as Refina learning what you sell, what each product is for, and how your products differ from each other. It is store-specific, not a generic shopping database.

Better product data = better recommendations

Refina can work with existing catalogue data, but richer product information gives it more context. For best results, products should include:

  • Clear product titles.
  • Useful product descriptions.
  • Product type or category.
  • Meaningful tags.
  • Images.
  • Ingredients, materials, specifications, or components where relevant.
  • Use cases and who the product is best for.
  • What makes the product different from similar options.
Placeholder products, empty descriptions, missing images, and generic tags such as “sample tag” will not show Refina at its best.
Recommendation logic

How Refina recommends products

Refina has two main recommendation modes: the full AI assistant for open-ended shopper questions, and the product-page assistant for fast, structured suggestions while a shopper is viewing a product.

Full assistant recommendations

The full assistant is for open-ended product advice. A shopper can ask a question in their own words, and Refina searches your product knowledge layer, narrows the catalogue to likely matches, ranks relevant products, and explains the best options.

  • Natural-language questions.
  • AI-generated explanation.
  • Recommended products from your catalogue.
  • Reasons why each product may suit the shopper.
  • Follow-up questions and comparisons.

Product-page assistant suggestions

The product-page assistant is for shoppers who are already viewing a product but still deciding. It uses the current product as context and can surface fast, grounded alternatives such as similar products, cheaper options, better-value choices, or upgrade-style alternatives.

  • Product-page context.
  • Fast catalogue matching.
  • Preset product discovery actions.
  • Quick alternatives and comparisons.
  • Handoff to the full assistant when deeper help is needed.
Simple distinction: the product-page assistant is for quick, grounded alternatives. The full assistant is for open-ended AI advice.

Product ranking

Refina does not pick products at random. It compares the shopper’s intent with product information in your catalogue, then favours products that are more relevant to the question.

Follow-ups

Shoppers can continue the conversation. Follow-ups are useful for narrowing a choice, comparing two products, asking for cheaper options, or checking suitability.

Response timing

Some answers appear quickly. Fresh AI recommendations can take longer because Refina is checking your product knowledge before explaining the best match.

Theme setup

How to enable Refina on your storefront

Refina can appear in multiple places on your storefront. You can use one surface or combine several, depending on how you want shoppers to discover the assistant.

Enable the Refina app embed

  1. In Shopify Admin, go to Online Store → Themes.
  2. Click Customize on your active theme.
  3. Open App embeds.
  4. Turn on the Refina app embed.
  5. Click Save.

Add the Product Page Assistant

  1. Open Shopify Theme Editor.
  2. Use the page selector at the top.
  3. Choose Products → Default product, or the product template you want to edit.
  4. Click Add block or Add section.
  5. Open the Apps tab.
  6. Choose the Refina product-page assistant.
  7. Click Save.
If you are editing the Home page, the product-page assistant may not appear. Switch to a product template first.

Add a menu link

You can add Refina to your store navigation by creating a menu item that links to /#refina. When shoppers click it, the full Refina assistant opens.

Use the launcher or Welcome Popup

The launcher is a floating button that opens the full assistant. The Welcome Popup is an optional prompt that invites shoppers to ask for help choosing.

  • Position the launcher left or right.
  • Control mobile visibility.
  • Hide the launcher on product or cart pages if preferred.
  • Set popup delay, message, buttons, and frequency.
Customisation

Customising Refina

Refina works out of the box, but most stores should spend a few minutes adjusting the visible wording, placement, and styling. These settings help Refina feel native to your store instead of bolted on.

Good starting point: Enable Refina first, test it with real shopper questions, then adjust the wording, placement, and display options to match how your store speaks to customers.

1. Store & AI settings

These settings are managed inside the Refina Admin. They help Refina understand your store and respond in the right product language.

Maximum visibility Use the launcher, Welcome Popup, and Product Page Assistant together.
Product-page focused Use the Product Page Assistant and hide the launcher on product pages.
Mobile-first store Keep the launcher visible on mobile and test its placement carefully.
Premium or luxury store Use softer wording, subtle colours, and a lower popup frequency.
Large catalogue Set a clear store category and improve product descriptions, tags, specs, and use cases.
Storefront surfaces

What each Refina surface does

Refina has several storefront surfaces. They are not separate apps — they are different ways shoppers can access Refina at different points in their shopping journey.

Surface What it does Best for
Full assistant modal Opens the full AI advisor where shoppers can type natural product questions. Open-ended advice, explanations, comparisons, and follow-ups.
Launcher button Floating storefront button that opens the full assistant. Storewide assistant access.
Menu link Navigation link using /#refina that opens the full assistant. Clean navigation-based access without relying only on a floating button.
Product-page assistant Product-page block with quick prompts and product-context suggestions. Similar products, alternatives, cheaper options, and product-page decision support.
Welcome Popup Optional prompt that invites shoppers to get help choosing. Increasing assistant discovery and shopper engagement.
Main assistant

Full assistant modal

The full assistant is Refina’s main AI product advisor. It is designed for shoppers who want to ask in their own words and receive product recommendations with reasons why.

What shoppers can ask

  • “What would you recommend for sensitive skin?”
  • “Which magnesium is best for sleep?”
  • “Recommend bikes like the Yeti ASR.”
  • “What’s the difference between these two?”
  • “Is there a cheaper option?”

What Refina returns

  • A recommended product or shortlist of relevant products.
  • Clear reasons why those products match the shopper’s question.
  • Comparison-style explanations where useful.
  • Follow-up guidance to help the shopper decide.
Outside product names: if a shopper mentions a product you do not sell, Refina treats it as context. It asks, “What is this shopper really looking for?” and then looks for the closest relevant products in your store.
Product pages

Product-page assistant

The product-page assistant is designed for the moment when a shopper is interested in a product, but not quite decided. It helps them compare, explore alternatives, and move into the full assistant if they need deeper advice.

Similar products

Help shoppers find products that are close to the one they are already viewing.

Cheaper options

Help shoppers who like the current product but want a lower-price alternative.

Better value or upgrade options

Help shoppers compare nearby options that may offer stronger value or a more premium fit.

Product-page presets use fast catalogue matching. For deeper open-ended advice, shoppers can open the full assistant.
Discovery

Launcher, menu link, and Welcome Popup

These surfaces help shoppers discover Refina. You can use one, combine several, or keep the experience focused on product pages only.

Launcher button

The launcher is a floating button that opens the full Refina assistant. It is a strong default for stores that want Refina available across the shopping journey.

Menu link

The menu link gives shoppers a clean navigation-based way to open Refina. Add a menu item that points to /#refina.

Welcome Popup

The Welcome Popup invites shoppers to ask for help choosing. You can control the message, timing, and how often it appears.

Recommended starting point

Start with the launcher or menu link first. Add the Welcome Popup once you are happy with how Refina answers shopper questions.

Quality check

Testing Refina properly

Refina is best tested with real products and real shopper-style questions. Testing with placeholder products or vague sample data will not show the assistant at its best.

Good test questions

  • “I have dry skin. What should I use?”
  • “Which product is best for beginners?”
  • “What’s similar to this product?”
  • “Is there a cheaper option?”
  • “What’s the difference between these two?”
  • “Which one would you choose and why?”

Surface testing checklist

  • Open the full assistant from the launcher.
  • Open the full assistant from a menu link.
  • Test the product-page assistant on a real product page.
  • Test the Welcome Popup if enabled.
  • Ask at least five real shopper-style questions.
  • Confirm recommended products are products you actually sell.
Merchant tools

Dashboard and analytics

After setup, use Refina’s Dashboard and Analytics pages to monitor activity, check knowledge status, and understand where shoppers need help choosing.

Dashboard

  • Check knowledge build status.
  • Review setup progress.
  • Monitor AI query usage.
  • Refresh product knowledge when needed.

Analytics

  • See shopper query activity.
  • Review recent recommendation activity.
  • Identify common shopper concerns.
  • Understand what customers are trying to choose.
Available analytics may depend on your plan.
Plans

Billing and plans

Your Refina plan controls your usage allowance and which merchant tools are available. Choose a plan before starting the catalogue intelligence build.

What to know

  • A plan must be active before Refina can build catalogue intelligence.
  • Plans may affect usage limits, analytics depth, and available merchant controls.
  • You can manage your plan from the Billing page inside Refina.
  • If a plan is not active, some setup and refresh actions may be unavailable.
Trust

Privacy and data

Refina is designed to recommend products using your catalogue and shopper questions. It does not need customer names, payment details, or order history to provide product recommendations.

What Refina uses

  • Product catalogue data.
  • Store settings such as category and brand name.
  • Shopper recommendation requests.
  • Interaction data used for analytics and product recommendation quality.

What Refina does not need

  • Customer payment details.
  • Customer order history.
  • Customer personal profiles.
  • Browsing behaviour outside direct Refina interactions.
To generate product intelligence and recommendations, Refina may process product catalogue context and shopper questions using AI services such as Google Gemini. Recommendations remain grounded in products from your Shopify catalogue.

Troubleshooting

Common setup and testing issues, with practical fixes.

I can’t see the Refina app block.

Make sure you are editing a product page template, not the Home page. In Shopify Theme Editor, use the page selector and choose Products → Default product, then open Add block or Add section → Apps.

I enabled Refina but don’t see it on my store.

Check that the app embed is enabled, the theme was saved, the launcher is not hidden on that page type, and mobile visibility is not switched off. If you added the product-page assistant, confirm it was added to the correct product template.

Start building intelligence is disabled.

Choose a plan first, then return to Get Started. Refina needs an active plan before it can build catalogue intelligence.

Recommendations seem weak.

Check product data quality, product descriptions, product types, tags, images, category setting, and whether the knowledge build has completed. Placeholder products and missing descriptions will produce weaker results.

The assistant takes a while to answer.

Fresh AI recommendations can take longer because Refina is checking your product knowledge before explaining the best match. Large catalogues and complex comparison questions may also take longer than simple product-page suggestions.

The popup appears too often.

Adjust the Welcome Popup frequency in theme settings. Use once per session or once per day if you want a lighter-touch experience.

The menu link does not open Refina.

Check that the menu link points to /#refina, the Refina app embed is enabled, and your theme has been saved.

FAQ

Quick answers to common merchant questions.
